Plan. Book. Shoot. Send.

Use this procedure to complete client video work in Cortex. Complete the four steps in the specified sequence.

The sections that follow give instructions for each step.

1. Plan the shoot.

Open Production. Select Briefs. Make a client plan with data from the previous month.

Select the client. Add the monthly goal. Approve each script.
Cortex
Cortex gets the performance data. Cortex makes the BriefDoc.

The step is complete when the client has the approved brief.

2. Connect the calendars. Book the shoot.

Before you make the first booking, connect Google Calendar. Cortex gets free and busy data from each selected calendar.

Select "Connect Google Calendar." Complete the Google approval. Select the calendars that block busy times.
Cortex
Cortex checks only free and busy data. Cortex prevents booking conflicts. Cortex adds the confirmed shoot to the production calendar.

The step is complete when Connections shows the calendars. The shoot has an owner, a date, and the Confirmed status.

3. Complete the shoot.

Before the shoot, open the BriefDoc. Use its scripts and shot list.

Record each approved script, hook, and support shot.
Cortex
Cortex keeps the approved brief with the client project.

4. Send the footage to the editor.

Google Chat sends a footage intake comment. Open the project link in the comment. As an alternative, open Footage Intake in Cortex.

Paste the Google Drive folder link. For a small file, select "Upload directly to Cortex." Select "Hand off."
Cortex
Cortex saves the footage link with the BriefDoc. Cortex sends one notification to the editor.

The step is complete when the folder opens in Cortex and the confirmation message appears.

Correct a problem.

Google Calendar is not connected

Open Account. Select Connections. Select "Connect Google Calendar." Complete the Google approval. Return to Cortex. Select "Sync calendars."

A calendar does not appear or must not block a shoot

Open Account. Select Connections. Select "Sync calendars." Set each calendar to On or Off. Keep a minimum of one calendar active. Cortex uses the active calendars to prevent booking conflicts.

The Google Drive folder does not open

Open the folder in Google Drive. Make sure that the editor has access. Copy the folder link again. Paste it into Footage Intake. Select "Open Google Drive folder."

Cortex does not save the folder link

Paste the complete drive.google.com folder link. For a small file, select "Upload directly to Cortex."

The client or project does not appear

Go to the previous step. Make sure that you selected the correct brand. If the project does not appear, contact the department head. Ask the department head to confirm the assignment. Do not make a duplicate project.

The calendar does not show the shoot

Open Production. Select Shoots. Confirm the booking. Correct the booking before you continue the procedure.

The procedure is complete when the editor has all necessary information.

  • The client has the approved brief
  • Cortex uses the selected Google calendars
  • The shoot has an owner, a date, and the Confirmed status
  • You recorded each required shot
  • The Google Drive folder opens from Cortex
  • Cortex sent one editor notification

When Google Chat asks for footage intake, open the project link. The link selects the project for you.
